The role of Operations Manager at Clearwater Capital Partners is a dynamic role in providing support of the firm’s financial advisors and clients. As a Registered Investment Advisor (RIA), Clearwater Capital Partners has enjoyed significant growth since its founding in 2006. As the client base and team has grown, the need for an experienced Operations Manager is required.
Day to day responsibilities include, but are not limited to, the following:
Duties and Responsibilities
Lead team of 2-4 members, providing daily coaching and motivation
Develop Goals & Objectives at the Team & Individual level to achieve organizational priorities
Lead team members toward achieving goals and objectives
Create Operating Rhythm to keep the Operating Committee up to date regarding near term challenges / accomplishments and future vision for the Operations Team
Foster positive environment through encouragement and recognition of hard work
Establish process management framework and workflow metrics to deliver clients with high- quality service and world class experience, including items such as:
Onboarding of new clients and their first 100-day experience
Create & mail welcome letters with account documents
Track the progress of account execution (i.e. incoming transfers, wires, etc)
Initiate paperless process & interface with clients (On-Line Account View, Paperless Documents)
Manage client needs in all aspects of service including opening/updating client accounts, money transfers, drafting documentation, and client communications
Prepare various reports for client reviews and other miscellaneous meetings
Perform regular account maintenance (e.g. Name/address changes, beneficiary information, reporting statements, changes to trustee, etc)
Archiving process; closed accounts, imaging, paperless
Administer performance reviews, compensation/bonus recommendations and take disciplinary action if needed

Compliance Support
Work with Chief Compliance Officer (CCO) to archive electronically all client documentation
Prepare system reports for CCO’s periodic review
Oversee record retention & filing in conjunction with compliance direction
Ensure compliance documents are always up to date for clients, and ensure that we are remaining compliant in our communications/actions with clients
Required Skills
Proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint) and Microsoft Outlook
Ability to learn proprietary software and databases (Tamarac CRM)
Excellent communication skills, both written and oral
Skilled multi-tasking and managing priorities effectively
Strong interpersonal and relationship building skills as a catalyst for collaboration
Highly organized with strong attention to detail

Minimum Requirements
B.A. or B.S.
5+ Years managing a team
Satisfactory verification of citizenship or immigration status, a successful background screening, credit check and drug testing.
Desired
Registered Investment Advisory (RIA) and/or Family Office experience
10+ Years’ Experience
