Client Experience Specialist

Prompt: Clearwater Capital Partners (CCP) is seeking a positive and motivated individual with exceptional interpersonal skills and the ability to deliver superb client experiences in-person and by telephone. This individual will be a primary point of contact in greeting clients visiting our offices and will coordinate a wide range of client related communications. This individual will also perform operational and administrative functions in support of a 20+ person team.

Position - Client Experience Specialist

Company - CCP is a private wealth management firm serving the needs of high net worth families and professionals. Operating as an independent Registered Investment Advisor, CCP directs the investments and comprehensive wealth management activities for successful clients and their families. The firm maintains uniquely close and confidential relationships with clients. CCP operates at the level of professionalism and discretion that our client families have come to expect.

Position - The Client Experience Specialist (CES) will excel in two primary roles: 1) “director of first impressions” and, 2) “office manager.”

  • As the “director of first impressions,” the CES will represent the Clearwater Capital brand when welcoming clients into our offices and communicating with them by telephone. This individual must have a great personality, a passion for providing exceptional service, and the gift of hospitality.  The CES will answer and direct a high volume of incoming calls in a professional manner and must be able to interact with high level business leaders.  The CES will follow-up where necessary without prompting. 

    Like the registration process at an exclusive 5-star resort, the CES is responsible for establishing a welcoming and professional tone for all clients visiting our headquarters.  The CES will maintain the reception area appearance, cleanliness, and an efficient operational look.  The CES must also be familiar with all Safety and Emergency policies and procedures.

    The CES is expected to maintain a professional appearance and reception environment. This individual will have the skills to develop warm personal relationships and maintain a familiarity with the social details of individual clients. First impression responsibilities will include greeting clients, escorting them to waiting areas, preparing their preferred beverages, and socializing with them within the office.

  • Relative to the “office manager” role, the CES will provide administrative support within a multifaceted team environment (copying, filing, faxing, archiving). This includes maintaining complex calendars, schedules and logistics. The CES will oversee booking of conference rooms, catering, guest registration, and ensure pertinent materials are organized and professionally presented.  The CES must possess strong attention to detail and simultaneously manage a wide range of activities.

    As office manager, the CES will monitor all offices supplies and materials.  The CES will be responsible to procure supplies as necessary and maintain properly stocked inventories.  The CES will organize, format, and execute mass communications, both electronic and physical.  The CES will coordinate domestic and international travel arrangements for senior CCP associates, manage monthly expense reports, and process payment of certain recurring invoices.  And, the CES will assist with the on-boarding and orientation of new hires.

The CES must be comfortable working in a sometimes hectic, high pressure environment, demonstrate dependability, and effectively handle highly sensitive, confidential information.  The CES must be proficient in MS Word, Excel, PowerPoint and Outlook while possessing aptitude.

All duties as the CES should be done in a professional matter in the spirit of enhancing the CCP client experience.  The CES is an integral member of the CCP team.  Accordingly, the CES must have a positive attitude, be reliable, work harmoniously with other team members, and maintain a high level of situational awareness of current priorities.

Preferred Experience in any of the following fields

  • Hospitality

  • Finance / Law office

Preferred Experience in the following programs

  • Microsoft Excel, Publisher, Word, and Outlook.

  • Microsoft Dynamics, Salesforce, or similar CRM

  • Mass mailing applications (Constant Contact, Mailchimp, etc.)
