The role of Administrative Assistant is a dynamic role in providing support of the firm’s financial advisors and clients. The Administrative Assistant is often the face / voice of the CCP brand. Accordingly, the Administrative Assistant must maintain a strong positive personality along with excellent organization, communication, and interpersonal skills.
Day to day responsibilities include, but are not limited to, the following:
Duties and Responsibilities
- Answers all incoming phone calls with welcoming energy and pleasant disposition. Route all calls to the correct point of contact
(advisor or operations) or take detailed messages.
- Greet and make comfortable all incoming guests. Set a welcoming tone offering a beverage and friendly conversation while guests
wait for their scheduled appointment.
- Order and organize break room supplies/snacks/drinks.
- Manage/maintain board room, meeting areas, and all general spaces in the office.
- Manage all hospitality initiatives (team-client lunches, happy hour events, etc)
- Schedule client meetings with advisors (in-person, virtual, or via phone) and send out the proper confirmation and/or calendar
invitations.
- Manage the individual advisors’ calendar (communications, meetings, etc.)
- Manage incoming/outgoing mail through the US postal system and FedEx; including but not limited to enterprise mass
mailings.
- Scan incoming client correspondence and maintain proper compliance correspondence files.
- Execute client appreciation/condolence standards as directed by the advisors.
Required Skills
- Ideal candidate is a proactive, self-motivated individual who can work independently with minimal oversight and provide high
attention to detail.
- High ability to collaborate and deliver results according to established deadlines.
- Proficiency in Microsoft Word, Excel, Outlook, and Adobe Acrobat
- Excellent written and verbal communication skills, especially the ability to listen and comprehend effectively.
- Prioritize effectively within tight schedules and a fast-paced environment.
- Strong work ethic and customer service orientation with high integrity and ethics

Minimum Requirements
- High school diploma, bachelor’s degree preferred
- Ability to learn customer relationship management solution (Dynamics 365)
- Satisfactory verification of citizenship or immigration status, a successful background screening, credit check and drug testing.
